Compliance & Security
Is TriFetch HIPAA compliant? Do you sign BAAs?
Yes. TriFetch is HIPAA compliant and SOC 2 certified, and we sign a BAA with every clinic we work with. We also hold signed BAAs with every AI provider in our stack, including Google Cloud and Anthropic, so your patient data is covered end to end. Each client engagement is additionally backed by $1M in cyber liability insurance.
What happens to our patient data? Do you store PHI?
To run your workflows (answering calls, processing referrals and faxes, and submitting prior authorizations), TriFetch handles protected health information (PHI), and we protect it the same way your practice does. Your data stays yours: we access only the minimum necessary, write results back into your EHR, and never use your identifiable PHI to train AI. All PHI is encrypted in transit and at rest on secure, US-based cloud infrastructure, with least-privilege access, multi-factor authentication, and full audit logging. We operate under a signed BAA with your practice and a SOC 2 and HIPAA program.
Where is our data processed? Anything offshore?
All operations are onshore in the United States, on Google Cloud infrastructure. No PHI is handled offshore.
Is this a security risk inside our EHR?
Linda logs in the way a staff member does, with her own credentials, through your normal login flow including VPN and two-factor authentication where applicable. There is no third-party API connection into your EHR, which means no new integration surface to secure. Every action she takes is logged and reviewable.
Getting Started
How long does implementation take?
Phone lines, prior authorizations, and referral workflows outside the EMR are typically live within a week. Full bi-directional EMR work is live within about a month. There is no IT project on your side.
What does onboarding actually look like?
A dedicated TriFetch engineer works with your clinic for the first month, on site or fully remote, learning your workflows, your scheduling rules, and how your staff actually does things. We hold weekly check-ins through go-live and beyond.
Does it work with our EHR?
If your staff can use it in a browser, Linda can too. She works inside eClinicalWorks, Epic, athenahealth, NextGen, Elation, Tebra, Office Ally, Oracle Health, and others, with no API required. She gets her own login and operates your existing screens the way a person would. If your system isn't listed, ask us; the answer is usually yes.
We're on Epic. Doesn't a vendor account violate our Epic agreement?
No. Linda accesses Epic through a standard user login on clinic-controlled hardware, following your normal authentication flow. It is not a third-party API integration, so it does not touch Epic's vendor integration restrictions. This is our standard process across deployed Epic clinics.
How Linda Works
Is this just RPA or macros?
No. Linda is built on computer-use AI agents that read and understand the screen at every step, the way a person does. When your EMR updates its interface or a button moves, her workflows keep running. There is nothing brittle to re-script and nothing for your team to retrain.
Who is watching her? Can we approve her work before it hits the chart?
Yes. Linda starts every engagement with training wheels: a human approves every write action before it lands in your EMR. You set the confidence threshold on your TriFetch dashboard for what runs autonomously and what gets flagged for staff review. Most clinics loosen the approval layer after two to three weeks, once they've watched her work. On phone calls, Linda transfers to a human whenever a caller asks or whenever she can't resolve something.
What if she makes a mistake?
Deterministic tasks like reading a fax and entering demographics run at near-perfect accuracy. Anything ambiguous, like an unclear procedure code, is never guessed; it's flagged for your staff to review. Across our deployed clinics, workflows run above 90% accuracy from the start and climb toward full accuracy within the first two to three weeks as Linda learns your clinic's specifics.
How do we see what she's working on?
Your TriFetch dashboard shows everything in real time: completed, pending, and flagged items, plus daily counts of calls, faxes, and prior auths processed. Anything Linda can't resolve is surfaced immediately, and she can also message your staff directly inside your EMR inbox.
Patients & Staff
Will patients know they're talking to an AI?

Does Linda speak our patients' languages?
Yes. Linda is multilingual and handles calls in Spanish, Portuguese, Hindi, Gujarati, Korean, Russian, and more, natively on every call. Her name and voice are customizable to your practice.
Is this going to replace my staff?
That's your call, not ours. Most of our clinics use Linda to grow without hiring: she takes the phones, the fax sorting, and the data entry, and your team gets redeployed to collections, patient care, and the work that actually needs a human. Practices that want to reduce overhead can do that too. What changes either way is that no call goes to voicemail and no referral sits unread.
Pricing & Contracts
How does pricing work?
Pricing is volume-based: it scales with the work Linda actually does (calls, faxes, prior auths), not a per-seat license that multiplies as you grow. There is a one-time implementation fee, and contracts are annual, billed monthly. Adding workflows later doesn't trigger change fees, and contracts include good-faith renegotiation if your volume changes significantly. What if it doesn't work for us?
Every contract includes our 30-day money-back guarantee, in writing. If Linda doesn't deliver in the first 30 days, you get every dollar back, no questions and no clawback fine print. No client has ever asked for it.
You're a young company. What happens to us if TriFetch goes away?
Two protections are structural. First, the 30-day guarantee removes the financial risk of trying us. Second, zero data retention means there is never a store of your patient data at risk; Linda works inside your systems, so your data never leaves your control. And because there's no integration to rip out, there is no lock-in either.
